Novell GroupWise Document Management is one of the most powerful components within Novell GroupWise, yet it is the least explored function that you have out of the box when you are using Novell GroupWise.

We now also have Novell Teaming that brings business collaboration around documents and business processes to an unprecedented level.

By enabling Document Management within Novell GroupWise or deploying Novell Teaming you open up a new source of benefits to your organisation that has not been explored before.  The ability to take control of the knowledge generation within an organisation is one of the key headaches facing business executives today.

Benefits of Novell GroupWise Document Management

  • Seamless Integrated Document Management within the GroupWise Client
  • Open Document Management Application (ODMA) Interface support for Microsoft Office, OpenOffice, WordPerfect and other compliant applications
  • Extensive Version Control is provided with Different User Security Access for different versions of a document
  • Granular Document Access Security can be user, group or general access based

The success of Novell GroupWise Document Management or Novell Teaming implementations rely on the method of implementation.  The same principles that are applied when other Document Management systems are implemented must be applied to GroupWise Document Management, and to much wider scope when Novell Teaming is deployed.

NETCB has developed an extensive consulting engagement model to ensure that Novell GroupWise Document Management or Novell Teaming implementations are conducted successfully.

The success lies in the planning, design and change management of the solution.  The technical part of the implementation takes the least amount of effort in terms of time and resources.

GroupWise Document Management will allow you to manage the life cycle of your documents by providing security, sharing, control and searching capabilities. You have control over a document from the creation and revision phases to the storage and retention requirements of a document. GroupWise Document Management will allow you to store any single file based entity such as word processor documents, spreadsheets, presentations, PDF documents, image or sound type files and many more.
Each document has a unique profile or set of customisable metadata fields.

GroupWise also stores activity information about a document that allows a complete history or audit trail to be retrieved.

Key Features of Novell GroupWise Document Management

  • Version Control allows you to manage document versioning with security on different version levels.  When working in remote mode GroupWise will automatically manage the versions if different people modified the same document.
  • Check In and Check Out allows you to take a document elsewhere, make changes and check those changes back into the system.
  • You can have up to 255 custom fields per document profile.  These fields can be lookup tables, dates, free form or number fields.
  • If you are already using GroupWise then the activation of DMS will be easy as you are already familiar with the GroupWise environment.
  • GroupWise DMS makes document management easy for users that work remotely or travel often.  You can work offline and make changes while disconnected from the world.  When you connect the changes are synchronised with your office servers.

DOCUMENT SECURITY

Documents are stored in an encrypted and compressed format that ensures unauthorised access is prevented.

OFF-LINE ACCESS

Documents stored in a Document Library is also available when you are working in off-line mode.  Changes are automatically synchronised to the master document on the server.

FULL-TEXT INDEXING

GroupWise performs full-text indexing of documents stored within a GroupWise Document Library.  This ensures that document searches can be done on the content of the documents.

CROSS PLATFORM

GroupWise DMS Server components runs on Linux, Windows and NetWare.

ZERO DOWNTIME

GroupWise DMS use the high availability and clustering capabilities of the GroupWise Server Agents that will ensure ZERO downtime on your document management server.

DMS ADD-ON TOOLS

NETCB provides X-DMS Linux that allows FULL DMS capability on the Linux Desktop.  X-DMS Web allows search, check in and check out capabilities via any standards-based web portal.

GroupWise Document Management is NOT a separate product but part of GroupWise.  You do not need to license it separately.  If you own Novel GroupWise software you can already use GroupWise DMS.  NETCB has created a consulting framework that is sold as a consulting engagement to customers and partners.  NETCB also created add-on tools to enhance the functionality of Novell GroupWise DMS.
